Online Store Management Checklist: Daily, Weekly and Monthly Tasks

By Elite Mercato TeamPublished October 3, 2026Updated October 4, 20264 min read

Running an online store is more than adding products and waiting for orders. Behind every smooth store is a routine: orders shipped on time, stock kept accurate, customers answered and numbers checked. This checklist breaks store management into daily, weekly and monthly tasks so nothing important slips.

Daily tasks

  • Process new orders: check payments, pack and ship, and add tracking numbers.
  • Answer customer messages: reply to emails, chats and marketplace messages, ideally within one business day.
  • Check failed or flagged orders: payment failures, fraud warnings and address problems.
  • Watch stock on best sellers: make sure popular items are not about to sell out.
  • Handle returns and refunds: process them promptly and update stock.

Weekly tasks

  • Review sales: compare revenue, orders and average order value with the previous week.
  • Update stock and reorder: place purchase orders for items running low.
  • Check product pages: fix broken images, wrong prices, missing details and out-of-stock items still being promoted.
  • Review ads and promotions: pause campaigns that are not working and check discount codes are correct.
  • Read reviews: reply to them and note any repeated complaints.
  • Send your planned emails: newsletters, launches or offers to your subscribers.

Monthly tasks

  • Look at the bigger picture: profit, conversion rate, top products and where your sales come from.
  • Audit inventory: count stock, find slow sellers and plan clearance or bundles.
  • Check store speed and apps: remove apps you no longer use and test the site on mobile.
  • Review shipping and fees: make sure rates still cover your costs.
  • Plan next month: new products, seasonal campaigns and content.
  • Back up and check settings: taxes, policies, payment settings and staff access.

Numbers to track

You do not need dozens of reports. These numbers tell you most of what you need to know:

  • Revenue and number of orders.
  • Conversion rate: the share of visitors who buy.
  • Average order value.
  • Gross profit after product cost, fees and shipping.
  • Return and refund rate.
  • Customer response time.

Common mistakes

  • Selling items that are out of stock because inventory was not updated.
  • Leaving customer messages unanswered over weekends and holidays.
  • Running ads to products with broken pages or wrong prices.
  • Only looking at revenue and ignoring profit.
  • Keeping everything in one person's head instead of written processes.
