What a dispatcher does
A dispatcher acts as your back-office partner. Typical tasks include:
- Searching load boards and broker contacts for loads that match your lanes and equipment
- Negotiating rates with brokers
- Booking loads and sending you the details
- Coordinating pickup and delivery times
- Tracking progress and handling updates or delays
- Organizing rate confirmations and load documents for invoicing
How the process usually flows
- Setup. You share your equipment type, preferred lanes, home base, rates you will accept and when you want to be available.
- Load search. The dispatcher looks for suitable loads and contacts brokers.
- Negotiation. Rates are discussed and, when you approve, the load is booked.
- Confirmation. You receive the rate confirmation and pickup and delivery details.
- On the road. The dispatcher checks in at key points and helps solve problems.
- Paperwork. Documents are collected so you can invoice promptly.
How dispatch fees usually work
Dispatchers commonly charge a percentage of the load revenue or a flat fee. Whatever the model, get the terms in writing before you begin: how much, when it is charged and what is included.
What to look for in a dispatcher
- Clear terms. No hidden charges and no long lock-in you did not agree to.
- Good communication. Fast replies, especially during pickups and deliveries.
- Knowledge of your lanes and equipment. Experience with the type of freight you haul.
- Transparency. You should know what rate each load pays and who it is booked with.
- You keep control. You should be able to accept or decline any load.
